In most businesses the call nobody answers does not come back: it goes to a competitor. TomAnswer puts a voice agent on that call — inbound or outbound — to understand what the caller wants, resolve what it can, book when it should, and hand the phone to a person when it must. We built the platform: the voice through ElevenLabs, the logic in n8n, and the CRM where every conversation lands as data.

01The brief

Answering the phone is a fixed cost.

Answering calls costs the same on a dead Tuesday as on a campaign Monday: someone has to sit there in case it rings. When it rings too much, there aren't enough of them; when it rings too little, you pay anyway. In between, after-hours calls are lost, leads get qualified by whoever picked up, and half of what was said never reaches the CRM.

The brief was to build the platform that absorbs that work: one voice agent per company, with its own script and tone, able to hold a real conversation, decide during the call, and leave the outcome written where the sales team already works.

Our role

Architecture and build of the platform: conversation flow design, voice integration, decision orchestration, connection to the CRM and the database where every call is stored, plus the product site.

02Architecture

Three things an agent has to get right.

A synthetic voice that sounds great and resolves nothing is an expensive answering machine. The product is won inside the conversation.

01 · Sound

A voice that doesn't grate.

Hyper-real synthesis through ElevenLabs, with tone and pace tuned per industry: answering for a clinic is not answering for a workshop. If the voice sounds like a robot, the call is lost in the first second.

02 · Decide

The script has branches.

Each company brings its rules — what gets answered, what gets booked, what gets escalated — and those rules live in n8n flows, not in the prompt. Changing a commercial condition is editing a node, not retraining an agent.

03 · Record

The call ends in the CRM.

Contact created or updated, pipeline stage moved, a note with what was said, and the right campaign fired. If the conversation leaves no trace, the call was worth as much as not answering.

03The idea

What this platform had to settle.

A call isn't measured by how it sounds, but by what it writes down.

A voice agent demo always impresses: it speaks well, it understands, it answers. The problem shows up a week later, when the sales team asks what happened with Tuesday's forty calls and nobody can say.

So the system was designed from the end backwards: every conversation has to finish in a state — resolved, qualified lead, appointment booked, or handed off — and that state has to land in the CRM with its note and its follow-up. The voice is the interface; the data is the product.

    The call comes in

    The agent answers on the first ring, at any hour, and opens with that company's script: name, service, and the question that starts the conversation.

  2. 02

    Listen and understand

    The conversation is open, not a menu of options. The caller says it their way and the agent extracts what matters: what they need, by when, and who they are.

  3. 03

    Look things up

    Mid-call, the flow can check the database — whether the contact exists, what was promised before, what availability there is — before answering.

  4. 04

    Decide

    Business rules run in n8n: resolve, quote, book or escalate. The decision does not depend on the agent's mood or the day of the week.

  5. 05

    Book or hand off

    Where there is intent, the appointment goes into the client's calendar. Where the conversation leaves the script, it transfers to a person with the context already gathered.

  6. 06

    Write to the CRM

    Contact created or updated, stage moved, a note with the summary, and call tags. The sales team finds a case, not a duration log.

  7. 07

    Fire the follow-up

    SMS or email confirmation, appointment reminder, or a recovery sequence if it stayed lukewarm: the campaign leaves from the same CRM, with no manual step.

  8. 08

    Leave the evidence

    Transcript, duration, outcome and metrics are stored. That is what lets you audit the agent and tune the script with data instead of impressions.

The eleven-at-night call gets the same attention as the ten-in-the-morning one, and ten simultaneous calls do not queue: each gets its own agent.

What was delivered is a platform, not a demo: the agent answers, holds the conversation, decides on the business's rules, books where there is intent, hands off where the script ends, and leaves every call written in the CRM with its summary and its follow-up. What used to depend on someone being at a desk now happens at any hour.

And it grows by configuration: each client company arrives with its script, its voice and its rules on the same architecture. Adding a client means standing up an agent, not standing up a call centre.

About what is shown

The call dialogue and the dashboard figures are invented. Real conversations belong to the customers of the companies running the platform: publishing them would expose third-party data — and a demo is not worth what evidence that the system leaves a record is worth.

More work

If the missed call is your most expensive cost, it is also the easiest to remove.
